Printer Cartridges: Original vs Compatible vs Refilled, What Really Saves Money

21 September 2026  ·  5 min read  ·  BST PVT LTD

Printer cartridges are one of the most argued-over purchases in any office. One person swears original is the only way. Another says compatible cartridges work fine and cost half as much. The truth sits somewhere between the two, and the way to find it is arithmetic and a small test, not opinion.

The three kinds of cartridge

  • Original (OEM). Made or approved by the printer manufacturer. Consistent quality, no compatibility surprises, and the highest price.
  • Compatible. A new cartridge made by a third party to fit your printer. Quality ranges from very good to poor, and price is well below original.
  • Refilled or remanufactured. An original shell that has been cleaned and refilled. It can be the best value, provided the refiller replaces worn parts and uses good toner.

Compare on cost per page

The price on the box is not the number that matters. What matters is how many pages the cartridge prints. Divide the price by the page yield. Manufacturers usually quote yield at about 5 percent page coverage, which is lighter than many real documents, so treat it as a comparison figure rather than a promise.

Here is an illustration, using made-up figures rather than current prices:

PriceYieldCost per page
Original cartridgeRs 10,0003,000 pagesabout Rs 3.33
Compatible cartridgeRs 6,0002,500 pagesRs 2.40

The compatible cartridge yields fewer pages, and it is still cheaper per page. At 5,000 pages a month, the difference is roughly Rs 4,650. Run this calculation with your own quotes before deciding. Sometimes the gap is large, and sometimes it is small enough that original is the sensible choice.

Where quality differences show up

  • Print density and streaks. Poor toner prints pale or leaves lines.
  • Leaks. A badly sealed cartridge can spill toner inside the printer and damage it.
  • Chip problems. Some compatible cartridges are not recognised by the printer, or report the wrong toner level.
  • Drum wear. In printers where the drum is part of the cartridge, cheap parts can shorten its life.

Warranty and firmware

Some printers reject non-original cartridges after a firmware update, and some warranties are affected by third-party supplies. Check the terms for your model. While a printer is within its warranty period, many offices choose to stay with original cartridges and switch afterwards.

Match the cartridge to the job

  • Contracts, certificates, client documents, and colour graphics: original, or a compatible you have already tested and trust.
  • Internal drafts and high-volume black text: a good compatible or remanufactured cartridge usually gives the best value.

Many offices split by department: original in the executive and client-facing printers, compatible in the high-volume back office.

How to test fairly

Buy one compatible cartridge, not a carton. Print the same test page before and after, note the print quality, and count the pages until it runs out. Compare that count with the yield you were quoted. Keep a log for a couple of cartridges, and you will have your own data instead of a supplier's claim.

Beware of fake originals

Counterfeit "original" cartridges circulate in the market. Check the packaging print quality, seals, and batch information, compare with a cartridge you know is genuine, and buy from a supplier who will stand behind the product. An unusually low price for an original is a warning sign, not a bargain.

Storage and handling

  • Keep cartridges sealed until you need them.
  • Store them in a cool, dry place, away from direct sunlight.
  • Follow the fitting instructions, and do not touch the drum or the contacts.
  • Return empties to a refiller or dispose of them responsibly. Do not burn them.

Keep a small buffer

Nothing stops a busy office like an empty cartridge. Keep one spare for each printer model in regular use, and reorder when you open the spare. It costs little and prevents the emergency purchase at the highest price.

Laser toner or inkjet ink?

For high-volume black text, laser printers and toner usually give the lowest cost per page and the sharpest result. Standard inkjet printers are cheaper to buy but often cost more per page in ink. Ink-tank models, where you refill from bottles, are a good middle option for low-volume colour work. Choose the printer type for your print volume before you worry about the cartridge.

Cut printing costs beyond the cartridge

  • Set double-sided printing as the default. It halves paper use for many documents.
  • Use draft or economy mode for internal documents and drafts.
  • Require a release step (a PIN or card) for print jobs so that forgotten jobs are not printed and abandoned.
  • Track page counts per department. Costs fall as soon as people know they are visible.
  • Where possible, choose high-yield cartridges for heavily used printers, since the cost per page is normally lower.

Paper is part of the same bill. Our guide to choosing A4 paper by GSM shows how the right grade reduces jams and wasted prints.
